Where your personal information is stored

The hosting facilities for our website are provided by SiteGround. There servers are based at various locations in EMEA and internationally.

Our customer relationship management and marketing automation systems are provided by Mailchimp. Mailchimp is headquartered in and has offices in the United States. Their servers are also located in the United States. We also store essential contact data on our Google Cloud platform.

Marketing

Please note that your information may be used to send you details of the products or services we offer that we have identified as being likely to be of interest to you. This will be in accordance with the preferences that you indicated when you completed our data capture form/online form.

E-newsletter

We use a third-party provider, Mailchimp, to deliver our monthly e-newsletter. We gather statistics around email opening and clicks using industry standard technologies including clear gifs to help us monitor and improve our e-newsletter. Disclosure of personal information

We may disclose and share your personal information with the following parties:

  • other members of Ratio Creative
  • our agents and professional advisors
  • any sub-contractors and service providers we may employ.

In many circumstances, we will not disclose personal data without consent. However, we may be obliged to disclose personal data by law, or the disclosure is necessary for purposes of national security, taxation and criminal investigation. Or, in the event of investigating a complaint, we may need to share personal information with the organisation concerned and with other relevant bodies.

Other websites

Our website may contain links to other websites that are outside our control and are not covered by this privacy policy. If you access other sites using the links provided, the operators of these sites may collect information from you that will be used by them in accordance with their privacy policy, which may differ from ours.

Subject access requests / Access to personal information

You have the right to see what personal data we hold about you.

Ratio Creative tries to be as open as it can be in terms of giving people access to their personal information. Individuals can find out if we hold any personal information by making a ‘subject access request’ under the Data Protection Act 1998. If we do hold information about you, we will:

  • Tell you why we are holding it
  • Tell you who it could be disclosed to
  • Let you have a copy of the information in an intelligible form

Internet-based transfers

Given that the Internet is a global environment, using it to collect and process personal data necessarily involves the transmission of data on an international basis. Inappropriate or offensive content on Ratio Creative website linked via social media accounts

If Ratio Creative connects one of our social media accounts to our website, and you post or send content that we consider inappropriate, offensive or objectionable, and/or otherwise engage in any disruptive behaviour, Ratio Creative may remove that content and/or block access.

Where Ratio Creative considers that you may be in breach of any applicable laws, for example on hate speech, Ratio Creative may disclose your personal information to relevant third parties, including to law enforcement agencies or your internet provider. 

Security and performance

Ratio Creative uses a third-party service to help maintain the security and performance of the Ratio Creative website. To deliver this service it processes the IP addresses of visitors to the Ratio Creative website.

WordPress

We use a third-party service, WordPress.com, to publish pages and posts, and when active, our blog. These sites are hosted at WordPress.com, which is run by Automattic Inc. We use a standard WordPress service to collect anonymous information about users’ activity on the site, for example, the number of users viewing pages on the site, to monitor and report on the effectiveness of the site and help us improve it. People who email us

Any email sent to us, including any attachments, may be monitored and used by us for reasons of security and for monitoring compliance with office policy. Email monitoring or blocking software may also be used. Please be aware that you have a responsibility to ensure that any email you send to us is within the bounds of the law.

People who make a complaint to us

When we receive a complaint from a person we make up a file containing the details of the complaint. This normally contains the identity of the complainant and any other individuals involved in the complaint.

We will only use the personal information we collect to process the complaint and to check on the level of service we provide. We do compile and publish statistics showing information like the number of complaints we receive, but not in a form that identifies anyone.

We usually have to disclose the complainant’s identity to whoever the complaint is about. This is inevitable where, for example, the accuracy of a person’s record is in dispute. If a complainant doesn’t want information identifying him or her to be disclosed, we will try to respect that. However, it may not be possible to handle a complaint on an anonymous basis.

We will keep personal information contained in complaint files in line with our retention policy. This means that information relating to a complaint will be retained for two years from closure. It will be retained in a secure environment and access to it will be restricted according to the ‘need to know’, principle.

Similarly, where enquiries are submitted to us we will only use the information supplied to us to deal with the enquiry and any subsequent issues and to check on the level of service we provide.

Job applicants, current and former Ratio Creative Employees

When individuals apply to work at Ratio Creative, we will only use the information they supply to us to process their application and to monitor recruitment statistics. Where we want to disclose information to a third party, for example where we want to take up a reference or obtain a ‘disclosure’ from the Criminal Records Bureau we will not do so without informing them beforehand unless the disclosure is required by law.

Personal information about unsuccessful candidates will be held for 12 months after the recruitment exercise has been completed, it will then be destroyed or deleted. We retain de-personalised statistical information about applicants to help inform our recruitment activities, but no individuals are identifiable from that data.

Once a person has taken up employment with Ratio Creative, we will compile a file relating to their employment. The information contained in this will be kept secure and will only be used for purposes directly relevant to that person’s employment. Once their employment with Ratio Creative has ended, we will retain the file in accordance with the requirements of our retention schedule and then delete it.

Complaints or queries

Ratio Creative tries to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures.

Cookies

A cookie is a small piece of information sent by a web server to a web browser, which enables the server to collect information back from the browser. We use third-party services, for example, Google Analytics, Facebook Conversions API, Linked Insights, and Twitter Analytics, to collect standard internet log information and details of visitor behaviour patterns when they visit our website. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way that does not identify anyone.

We do not share or allow Google, Facebook, LinkedIn, and Twitter to access any personally identifiable information about visitors to ratiocreative.com website, except where this information is disclosed by the visitor when completing a form on our website. In such a situation, the data is hashed and encrypted one way before sending it to the networks. Google and other social networks may also use “cookies” to identify you when visiting our Ratio Creative website.
